Terms and Conditions

All participants and directors of participating
museums must sign and submit to AAM this document by February 24,
2004 in order to participate in the IPAM Program. |

Failure to comply with the terms and conditions
outlined below may result in the recovery of granted funds from the
institution. |

and return it to the IPAM office. |
Participant Responsibilities
- Participants are responsible for informing themselves about the history,
culture, customs, and politics of the country they will visit and for
behaving in a manner appropriate to the cultural norms and laws of their
host country. They are expected to show respect while in residence at
their host institution and while hosting their counterparts. AAM reserves
the right to determine if certain behavior is objectionable and to remove
a participant from her/his residency, to request an alternate participant
at any point in the exchange, or to discontinue the partnership for
inappropriate actions.
- Participants are responsible for submitting all IPAM
paperwork to AAM by the requested deadlines. Participants should
reserve a few days in the final week of each exchange cycle to work
on these reports.
- Participants are responsible for following the travel
procedures of the IPAM program.
- All participants must be in residence at their host institution and
engaged in activities related to their project for a minimum of 31 days.
Travel away from the host institution during an exchange must be specifically
related to the exchange project. Travel not related to the exchange
project may be undertaken before or after the residence period or on
weekends and is not counted towards the 31-day residence requirement.
- During the non-U.S. portion of the exchange, participants are required
to work closely with the U.S. embassy or consulate staff, who will publicize
IPAM activities in the host country and to the U.S. Department of
State, the primary funder for IPAM.
- While participants are not discouraged from taking family members
on their exchange, they must remember that the primary responsibility
of all participants is toward their host museum and project.
- Participants are responsible for acting as a host to the visiting
museum professional and helping to obtain lodging, meals, and transportation
within the participant's IPAM
allowance.
Museum Responsibilities
- Museums are responsible for continuing to pay employees' salaries
and benefits during the exchange cycle.
- Museums are responsible for serving as the host institution for a
minimum of 31 days (one-half of the exchange cycle). The host institution
will help the visiting museum professional to obtain lodging and meals
within the participant's IPAM
allowance and will help identify reasonably priced local transportation.
- Museums are responsible for crediting the IPAM program and its funders
when publicizing their partnerships
and in any publications or products resulting in whole or in part from
the 2003-2005 IPAM exchange. Copies should be provided to AAM. English
translations are preferred.
Cultural or Public Affairs Officer Responsibilities
- Cultural and public affairs officers are responsible for facilitating
communications between non-U.S. museum staff, U.S. museum staff, and
AAM staff when necessary.
- Cultural and public affairs officers are responsible for working with
their nominees and the Department of State during the J-1 visa application
process and for assisting with the completion of all necessary forms
in a timely manner.
- Cultural and public affairs officers are responsible for monitoring
and advising participants on security issues related to travel.
- Cultural and public affairs officers are responsible for timely reporting
to the ECA programs office on all IPAM activities in their region and
are requested to work closely with host museums to publicize IPAM activities
and link them to Mission Public Diplomacy initiatives. Reports must
include visual documentation of any public activities undertaken by
IPAM participants during the residency period.
AAM Responsibilities
- AAM is responsible for meeting the travel requirements of IPAM funders
and will assist participants with travel arrangements.
- AAM is responsible for arranging insurance
for non-U.S. participants for the duration of their IPAM residency in
the U.S. U.S. participants are to arrange with their insurance
carrier for coverage during their travels.
- AAM is responsible for gathering all security information requested
from participants by the Department of State and for meeting the security
requirements of IPAM funders.
- AAM is not responsible for theft of any kind, personal injury, death,
or property damage during a participant's exchange. Each participant
is advised to take proper precautions
while abroad.
